Privacy Policy

Last updated: July 2026

1. Information We Collect

We collect information you provide directly to us when you create an account, use our services, or communicate with us, including:

  • Resume and profile information you upload
  • Contact information (name, email address, phone number)
  • Employment history, education, and skills
  • Job application data and preferences
  • Communication records with our support team

2. How We Use Your Information

We use your information to provide, maintain, and improve our services in the following ways:

  • Provide and improve our job application assistance services
  • Use AI to analyze, structure, and optimize your resume data
  • Automatically fill job applications on your behalf
  • Tailor application responses based on job descriptions
  • Track application status and provide analytics
  • Communicate with you about our services
  • Comply with legal obligations

3. AI and Data Processing

Our service uses artificial intelligence to process your resume and profile information. This includes:

  • Analyzing and structuring resume content
  • Generating tailored responses for job applications
  • Matching your profile to job requirements
  • Optimizing application completion rates

We implement appropriate safeguards to protect your data during AI processing and do not use your personal information to train general AI models.

4. Browser Extension

The Applyology browser extension helps you complete job applications on third-party career sites and application platforms. To provide these features, when you use the extension on a job application page it:

  • Reads the application form on the page so it can fill fields using the information in your Applyology profile.
  • Records details about each application, including its web address (URL) and employer domain, a name for the role, its status, and the times it was captured and completed.
  • Stores the form's questions and the values used to complete them, including field labels, field types, available options, the values suggested from your profile, and the answers you provide. This lets you review, resume, and track your applications from your account.

Because job applications are hosted on many different websites, the extension has permission to run on the pages you visit so it can detect application forms. It only captures and stores information related to the job applications you choose to work on, and does not collect or transmit the contents of other pages you browse. The application information it captures is stored in your Applyology account and handled in accordance with this Privacy Policy. You can delete individual applications or your entire account at any time.

5. Information Sharing

We share your information only in the following circumstances:

  • With service providers who assist in our operations (under strict confidentiality agreements) - see our Sub-Processors list
  • With AI model providers to power resume parsing and application assistance - see our AI Providers and Models page
  • With organizations that invite you to use Applyology - if you join through an organization's invitation, that organization can see aggregate statistics about your activity, such as how many applications you have started and completed. This reporting does not include the content of your individual applications or the answers you provide.
  • When required by law or to protect our rights
  • With your explicit consent

6. Data Analytics

We use Google Analytics 4 (GA4) to understand how our site is being used and to improve the user experience. GA4 collects anonymized data such as pages visited, how often users visit, and interactions with job listings (such as job views and apply clicks). It does not gather personally identifiable information. For more information, visit Google's Privacy Policy.

We do not use session replay tools that record mouse movements, keystrokes, or what you type. We do not intercept or store the content of communications or form submissions beyond what is necessary to fulfill your request.

California residents: We do not load Google Analytics until you affirmatively consent via the notice presented on your first visit. We also honor the Global Privacy Control (GPC) signal - if your browser sends a GPC opt-out, analytics will not load. To opt out, you may decline the consent notice, enable GPC in your browser, or install the Google Analytics Opt-out Browser Add-on.

7. California Residents (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you specific rights over your personal information. Applyology does not sell your personal information. You have the right to:
